Terms of Service

You must be able to enter a binding agreement in your country and provide accurate registration details. One person may hold one personal account. Accounts may not be shared credentials-wise; invite family members instead.

• Keep your password confidential and notify us of any unauthorised access.
• Provide accurate vehicle, odometer, fuel and receipt information.
• Only upload receipts and documents you are entitled to upload.
• Use the service in line with applicable law and these terms.

• Only invite people who expect to join your family account.
• Inform members that their vehicle, fuel, expense and receipt data is visible to you.
• Manage member access, vehicle assignment and removal responsibly.
• Choose the family currency and account settings that apply to the whole family.

• Record fill-ups and receipts accurately for the vehicles assigned to you.
• Understand that submissions are visible to the Family Owner.
• Do not attempt to access vehicles, records or families you are not assigned to.

You must not attempt to breach access controls, scrape or overload the service, upload malicious files, impersonate another person, resell the service, or use it for unlawful, fraudulent or misleading record-keeping.

Fuel efficiency, cost per kilometre, monthly spend and report figures are estimates calculated from the data you enter. They may be affected by partial fills, missed entries, incorrect odometer readings or rounding. Do not rely on them as the sole basis for financial, tax or safety decisions.

Paid plans (Individual and Family) are billed in USD through PayPal on a monthly or annual subscription, as selected at checkout, and shown to you before you confirm. Subscriptions renew automatically until cancelled. You can cancel anytime from Account Settings; cancellation takes effect immediately and your family account is downgraded to the Free plan. All payments are non-refundable.

You may stop using the service or request account deletion at any time from Account Settings. Family Members may leave a family account; historical records may remain linked to that family account. After closure we delete or anonymise personal data as described in the Privacy Notice, unless retention is required for legal, security or accounting reasons.

We aim to keep Fuelwise available and reliable but do not guarantee uninterrupted access. Maintenance, updates, provider incidents or factors beyond our control may interrupt the service. Features may change or be discontinued.

We may suspend or close an account that breaches these terms, poses a security risk, or is used for unlawful activity. Where practical we will tell you why and give you an opportunity to respond.

The service is provided on an “as is” and “as available” basis. To the maximum extent permitted by law we are not liable for indirect, incidental or consequential loss, lost profits, lost savings or loss of data arising from your use of the service or from reliance on calculated estimates. Nothing here excludes liability that cannot lawfully be excluded.

These terms are governed by the laws of the Republic of South Africa, without affecting mandatory consumer rights in your country of residence. Please contact us first so we can try to resolve the issue directly; if that fails, disputes will be handled by the courts of South Africa or another competent court where required by local law.
