Privacy Notice

• Account details: name, email address, password (stored only as a secure hash), role and family membership.
• Vehicle details: vehicle name, make, model, year, fuel type, registration plate and odometer readings you enter.
• Fuel records: dates, litres purchased, price per litre, totals, payment method and notes.
• Uploaded files: receipt images and PDF documents you choose to upload.
• Preferences: theme, currency, distance and volume units.
• Technical data: device and browser information, IP address and basic usage logs needed to operate and secure the service.

We use your information to create and secure your account, run family accounts, calculate fuel efficiency and cost metrics, store and display your receipts, generate your reports, send service and invitation emails, provide support and protect the service against misuse. Fuel calculations are estimates based on the data you enter.

Fuelwise organises data into family accounts. The Family Owner responsible for a family account can view the family's vehicles, fuel records, expenses, uploaded receipts and related account activity submitted by members of that family.

• Family Members can only see vehicles assigned to them and records they are permitted to view.
• Family Members cannot access another family organisation.
• Historical records may remain linked to the family account after a member leaves.
• Removed members lose access immediately.

Receipt files are stored in our hosted file storage and linked to your account and family account. They are served only to signed-in users who are permitted to view them. Files remain stored until you delete the record or your account is closed.

We do not sell personal information.

Our providers may process and store information on servers located outside your country. Where that happens we rely on the provider's contractual and technical safeguards to protect your information.

Authorised Platform Administrators may access account information when necessary for support, security investigation, account recovery, privacy requests, legal obligations or system maintenance. All administrator access is logged.

• Account data: kept while your account is active.
• Fuel records and receipts: kept while the related account exists, unless you delete them sooner.
• Closed accounts: personal data is deleted or anonymised within 90 days, except where records must be kept longer for legal, security or accounting reasons.
• Technical and security logs: kept for up to 12 months.

• Access the personal information held about you.
• Correct inaccurate details from Account Settings or by contacting us.
• Export your data in a machine-readable format.
• Delete your account and associated personal data.
• Object to or withdraw consent for marketing at any time.

We always use the storage strictly necessary to keep you signed in and to remember your display preferences.

We use self-hosted, privacy-friendly analytics (Umami) to understand overall site usage. It does not use cookies and does not track you individually across sites.

We use the Meta (Facebook) Pixel to measure the performance of our advertising. This sets an advertising cookie and shares limited technical data (such as page views) with Meta. It only loads after you accept advertising cookies - you'll see a choice on your first visit, and can change it anytime from Account Settings → Cookie preferences.

Fuelwise is intended for licensed drivers and adults. A parent or guardian who creates a family account is responsible for any account they manage on behalf of a younger household member and for the data submitted through it.

We use encrypted connections, hashed passwords, role-based access rules, per-record access control and logged administrator access. No service can guarantee absolute security, so please use a strong, unique password.
